To setup a mail box using IMAP within Mac Mail on OSX please follow the instructions below.
Note that this applies to standard and premium mailboxes only. It doesn’t cover exchange servers.
This is using version 14 as its basis.
In the details below replace the website URL example.com with your own. I’ve also used an email address of sales@example.com. This is to be replaced by your chosen email address.
It’s usual to use IMAP connection settings. This enables messages to be handled across multiple devices. for example: creating a message in draft and completing on another device. It also saves on the storage space of a device.
- From within the Mail app. Open the preferences in the menu: Mail > Preferences.
- This will open a new window. From the menu of icons across the top click on Accounts.
- On the left of the window existing accounts are listed. Below this there is a plus and minus sign. Click the “+” button to open the Add Account Screen.
- The pop-up window is title Choose a Mail account provider. On this window select Other Mail Account. Click Continue.
- Enter the following details:
Name: This will be your name as you wish your email recipients to see it. Possibly just your name, but may include an organisation too.
Email Address: your full email address – eg. sales@example.com
Password: your mail box password
Click on Sign in to proceed. A test will be made to see whether the details which you have provided enable access to the mailbox
If its not possible to connect with the mailbox the follow-on window will have more options to complete. In particular details for the incoming and outgoing server. It’s possible that the default server details used do not enable authentication to be made. Completing the incoming and outgoing server details enables the connection to be completed. don’t initially assume that you have entered the password wrongly.
Enter these details and click on Sign in.
If you have forgotten your mailbox password it can be reset. Note there is typically an hour’s delay in this becoming live. - The follow-on popup window offers apps to which the account are to be associated. I was offered Mail and Notes. I kept Mail ticked and clicked on the Done button.
- The new account should now be shown in the left hand list of accounts.
- Click on the account to review and edit the details. there are three tabs:

Server Settings - Select the tab Server Settings.
- Untick the option to Automatically manage connection settings.
- This will expand showing options for Port and Authentication.
- do likewise for the Outgoing Mail Server.
- Make your option changes and click on the Save button at the bottom of the window.
